Privacy policy

This policy explains how PingPing ("we", "us") handles personal information when you visit our website, create an account, use our email-marketing service, or receive an email sent through it. PingPing is a business-to-business service for companies that market to life-science researchers.

1. Two roles

Our customers' contacts. When a customer uploads a list and sends email through PingPing, the customer decides who is emailed and why. For that data we act as a service provider (processor) on the customer's behalf. Questions about why you received a customer's email should go to that company; you can also unsubscribe using the link in any email.

Our own data. For website visitors, account holders, people who fill in our forms, we decide how the information is used (we are the controller).

2. What we collect

• Account information: name, work email, company name, password (stored only as a secure hash).
• Form submissions: what you send through our contact, pricing and waitlist forms.
• Customer content: email templates, images and contact lists that customers upload.
• Email activity: delivery, bounce, complaint, open, click and unsubscribe events for emails sent through the service.
• Technical data: IP address, browser type, and a session cookie that keeps you logged in. We use rate-limiting records (stored as one-way hashes) to protect forms from abuse.

We do not use advertising trackers or sell personal information.

3. How we use it

• To provide, secure and support the service, including sending email on customers' instructions.
• To honor unsubscribes and suppress bounced or complaining addresses.
• To respond to requests you send us.
• To prevent spam, fraud and abuse, and to meet legal obligations.

4. Sharing

We share information only with service providers that help us run PingPing (for example hosting, email delivery and AI writing assistance for templates), under confidentiality obligations; when required by law; or as part of a merger or acquisition with notice to you. Customer contact lists are never sold, never shared with other customers, and never used by PingPing to send its own email.

5. Retention

We keep account data while the account is active and for a reasonable period afterward. Unsubscribe and suppression records are kept so we can continue honoring them. Customers can ask us to delete their content and lists.

6. Your choices and rights

You can unsubscribe from any email with one click. You can ask to access, correct or delete personal information we hold about you by contacting us. Where state privacy laws give you additional rights, we will honor them. If your request concerns a customer's list, we may refer you to that customer.

7. Security

We use encryption in transit, hashed passwords, access controls and monitoring. No system is perfectly secure; we will notify affected customers of a security incident as required by law.

8. Children

PingPing is a business service and is not directed to children under 16.
